9.5 Summary
• The MS Word give your documents a professional look using formatting options available
in word 2000.
• Using character spacing feature of word it is possible to increase or decrease the amount
of space between characters.
• In MS word text effects facility can be used to give a blinking background to the text.
• Using various buttons available on the formatting Toolbars, the font, font style, and front
size can be changed.
• Wizards are easy to use program supplied with word that enable the user to create
documents by answering a series of questions.
• A wizard creates a formatted documents for the user and prompts to include item the
user may otherwise forget using a letter wizard, it is possible to create a letter by providing
the recipients name, delivery address, sender’s name, and return address.
• Template is just as a framework boilerplate or master pattern that defines documents,
appearance and may define some of its contents.
• In the mail merge process, two main documents are used by word, a main document and
a data source document.
• Using mail-Merge it is also possible to create and print envelops and mailing tables.

Clip Art: Clip Art is a graphic or picture. Clip Arts are available in many styles and formats.
Data Source: Data Source is also called the Data File. It stores information to be brought into
the Main document. The data file table contains a column for each category of information, or
data field, in the data file. The Header Row is the first row of the table. It contains field names,
which indicate the type of information in each column.
Form Letter: Form letter is the resultant document of the mail merge operations, which
contains the copy of the main document along with each piece of information stored in the
data file.
Gutter Margin: A gutter margin is the white space formed by the adjoining inside margins of
two facing pages in a book, or the space between columns on a page.
Main Document: In Mail Merge, Main Document is the common letter, which contains the
common information for each of the merged document. It also contains the field names, which
contain the instructions for carrying out the merge.
Page margins: Page margins are the blank space around the edges of the page. In general, you
insert text and graphics in the printable area between the margins.
